Who is responsible for your data

What data we collect
When you register for an event, we collect the information you enter in the booking form: your name, phone number, email address, any comment you add, and the number of places you book. We also record the date of your booking and its status (pending, confirmed or cancelled).
If you apply for a wine trip, we also collect the information you send by email: the names of all participants, the number of places, your preferred room type and the city you will fly from. Please make sure the other participants agree to you sharing their names with us.
We do not use analytics, advertising or tracking cookies. The website does not require you to create an account.
Why we use it
We use your data to manage your registration, to confirm your place, to contact you about the event you booked (for example, a change of time or venue), and to arrange payment where the event has a fee. If you pay for an event, the related records are kept for accounting as required by Finnish law. For wine trips, we use your details to prepare the trip, recommend hotels, confirm the group and stay in touch with you before and during the trip.
We do not send marketing emails and we do not sell or share your data for marketing.
Legal basis
We process your booking and trip application data because it is necessary to provide the event or trip you registered for, or to take steps at your request before an agreement (Article 6(1)(b) GDPR). Payment records are kept to meet our accounting obligations (Article 6(1)(c) GDPR).
Who else handles your data
The website and its database are hosted by Contabo GmbH on servers in the European Union. Daily backup copies of the website, which include booking data, are stored in Google Drive. Emails from the website, such as booking confirmations, are sent through Google’s email service, which may process data outside the EU under the safeguards required by the GDPR. Nobody else receives your data, unless the law requires it.
How long we keep it
Booking and trip application data is deleted no later than 12 months after the event or trip, or after we tell you that the trip will not take place. Records needed for accounting are kept for the period required by the Finnish Accounting Act. Logs of sent emails are deleted automatically after 14 days. Backup copies are deleted automatically after 14 days.
Your rights
You can ask to see the data we hold about you, to correct it, or to have it deleted. You can also object to or restrict its processing, or ask for a copy in a portable format. To use any of these rights, or to cancel a booking, email ilya.kosterin2@gmail.com.
If you believe your data has been handled unlawfully, you can lodge a complaint with the Finnish Data Protection Ombudsman (tietosuoja.fi).
Age
Our events involve alcohol and are intended for adults aged 18 and over.
Changes
If this policy changes, the updated version will be published on this page with a new date.
